Effective date: November 4, 2026.
This policy explains how Gytix LLC (“Gytix,” “we,” “us”) handles information when you visit gytix.com, when you email us, and when your company uses the Gytix platform: the web app, the mobile app, the API and MCP server, and the A1, A1S, B1 and T1 devices that report into it.
The short version: our website sets no cookies, our analytics count visits without identifying visitors, we use your emails and walkthrough requests to reply to you, and we process customer fleet data only to provide the service to the customer that owns it. We never sell personal information or fleet data.
Who we are
Gytix LLC is a New Mexico limited liability company. Our office is at 1700 Louisiana Boulevard NE, Suite 100, Albuquerque, NM 87110, and you can reach us about anything in this policy at hello@gytix.com.
For information we collect through our website and from emails sent to us, Gytix decides how the information is used and is responsible for it. For fleet data that customers put into the Gytix platform, the customer decides how it is used, and Gytix acts as the customer’s service provider. The section on customer fleet data below explains what that means.
What our website collects
No cookies. gytix.com does not set cookies, and it does not use local storage, advertising pixels, session recording or third-party trackers.
Cookieless analytics. We use Cloudflare Web Analytics to count page views. It works without cookies or other identifiers stored on your device and reports to us only in aggregate: which pages were viewed, how often, the referring site, and broad details such as country, browser and device type. We cannot use it to identify you or follow you across other websites.
Technical data needed to serve the site. Like any website, ours is delivered by hosting and network providers that process your IP address, browser type and the page requested in order to send the page to you and block attacks. We do not use this data to identify visitors or build profiles.
Our tools. The ROI calculator and the PM interval planner work in your browser. We do not receive the figures you type into them.
The walkthrough form. The only form on the website is the walkthrough request on the book page. It sends your name, email, company and anything else you choose to enter to our inbox by email. We do not store it in a database, and we use it only to reply to you and prepare the walkthrough. Every other “contact” link opens an email in your own mail program.
Emails you send us
When you email hello@gytix.com, we receive your email address, your name and company if you include them, the message, and anything you attach, such as a machine list or service records.
We use this information to reply to you, to prepare a walkthrough or a quote you asked for, to provide support, and to keep ordinary business records of our correspondence. We do not add you to a mailing list, and we do not send marketing emails you did not ask for.
If you send us a fleet list or service history before you become a customer, we use it only to answer your request, and we delete it on request.
Customer fleet data
When a company subscribes to Gytix, the platform processes data on its behalf. This includes:
- Machine data: locations, engine and idle hours, fuel use, fault codes and other readings sent by Gytix devices, manufacturer data feeds or other trackers the customer connects.
- Records the customer’s team creates: inspections, work orders, parts, photos, notes, dispatch plans, rental records and service history.
- User accounts: names, work email addresses, phone numbers for alerts, roles and sign-in records for the people the customer invites.
For this data, Gytix is a service provider to the customer. We process it only to provide, maintain, secure and support the service under our agreement with the customer and on the customer’s instructions. The customer owns its fleet data and can export it at any time.
AI features. On the Command plan, the AI maintenance agent reads the customer’s fault codes, hours, inspection notes and service manuals to draft work orders and parts lists and to answer questions about the fleet. It uses that customer’s data only to answer that customer’s requests, and a person must approve every draft before anything is acted on. We do not allow the providers that run these features to train their models on customer data.
If you are an employee or operator at one of our customers and have a question about your data, please contact your employer first. We will help them answer you.
Location data and operators
Gytix devices report the location of machines, trailers, tools and attachments, not of people. But a machine usually has an operator, so a machine’s location, hours and alerts can sometimes be linked to the person running it, for example through a shift schedule or an inspection signed at the start of the day.
Customers decide whether to connect operators to machines in Gytix, and customers are responsible for telling their workers that equipment is tracked and for meeting any laws on monitoring employees that apply to them.
The Gytix mobile app uses the phone’s location only when a user records an inspection or when the app reads a T1 tag, so that the record can be placed on the map. It does not report a phone’s position at other times. Users can turn off location permission in their phone’s settings.
How long we keep information
- Website analytics are aggregate counts that contain no information we can link to you.
- Emails are kept while we have a business relationship with you and for up to three years after our last contact, then deleted, unless the law requires us to keep them longer.
- Customer fleet data is kept while the subscription is active, including at least the last three years of position and hour history, unless the customer deletes it sooner.
- After a subscription ends, the customer can still export its data as CSV or through the API. We delete it within 30 days of a written request from one of the customer’s account administrators.
- Invoices and payment records are kept as long as tax and accounting law requires.
Who we share it with
We do not sell personal information or fleet data, and we do not share it for advertising. We never share fleet data with equipment manufacturers, dealers, lenders or insurers unless the customer tells us to.
We share information only with the hosting and infrastructure providers that run our website and platform on our behalf: cloud hosting and storage, network delivery, email, and the cellular and satellite networks our devices use to send data. They may use it only to provide those services to us.
We may also disclose information when the law requires it, such as in response to a valid subpoena or court order. Where the law allows, we tell the affected customer first.
When a customer connects another system through the API, a webhook or the MCP server, data flows to that system at the customer’s direction and under the customer’s own arrangements with it.
How we protect it
Data is encrypted in transit and at rest, hosted in data centers in the United States, and backed up to separate storage. Access is controlled by role, customers can require single sign-on on the Command plan, and changes are recorded in an audit log the customer can review. Gytix staff can reach customer data only when they need it to provide support or keep the service running.
No system is perfectly secure. If we learn of a security incident that affects your information, we will notify you and the affected customers without undue delay, and as the law requires. Our security page describes these practices in more detail.
Your choices and rights
You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing hello@gytix.com. Depending on the state you live in, you may have further rights under its privacy law, such as the right to receive a copy of your information. We will not treat you differently for using any of these rights.
To protect you, we may need to confirm your identity before we act on a request. A person will confirm that we received it within one business day, and we aim to complete requests within 30 days. If we need longer, we will tell you why.
If your information is part of a customer’s fleet data, we will pass your request to that customer and help them respond to it.
We do not sell personal information or use it for targeted advertising, so there is nothing to opt out of. We treat a browser’s Global Privacy Control signal as a request not to sell, which we already honor.
Children
Gytix is a service for businesses. Our website and platform are not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has sent us personal information, email us and we will delete it.
Changes to this policy
When we change this policy, we will post the new version on this page with a new effective date. If a change materially affects how we handle customer fleet data, we will also email each customer’s account administrators at least 30 days before it takes effect.
